Terms of Service

Last updated: May 25, 2026

These Terms of Service set out the rules for providing services by electronic means by SpeedNetworking via the platform available at speednetworking.cloud and customer workspace subdomains. Using the platform constitutes acceptance of the Terms in full.

1. General provisions

1.1. These Terms are issued pursuant to Art. 8(1)(1) of the Polish Act of July 18, 2002 on Providing Services by Electronic Means (consolidated text: Journal of Laws 2020, item 344, as amended).

1.2. The service provider is Outspace sp. z o.o. with its registered office at ul. Michała Kleofasa Ogińskiego 2, 85-092 Bydgoszcz, entered in the register of entrepreneurs of the National Court Register under number KRS 0000710389, with share capital of PLN 5,000, NIP 9671404232, REGON 369029510, hereinafter referred to as the "Service Provider" or "SpeedNetworking".

1.3. The Service Provider can be contacted at the e-mail address hej@speednetworking.cloud or by post at the registered office address.

1.4. Using the platform requires accepting these Terms and the Privacy Policy, and meeting minimum technical requirements (an up-to-date browser with JavaScript and WebRTC support, an internet connection of at least 2 Mbps for video).

2. Definitions

Terms used in these Terms of Service have the following meanings:

  • Service Provider — SpeedNetworking, the entity providing the platform services.
  • User — a natural or legal person who has registered an account on the platform and is the owner or a team member of a workspace.
  • Workspace — the User's separate, branded environment with its own subdomain (e.g. klient.speednetworking.cloud), within which Events are organized.
  • Event (Event Session) — a speed-networking session organized in a workspace, consisting of rounds that pair attendees in video rooms.
  • Attendee — a person registered for a specific Event via the public form or an organizer's invitation; an Attendee does not need a User account.
  • Plan — a subscription package (Starter, Pro, Business) or a one-time event plan.
  • Trial — a 14-day free trial period of a selected Plan, with no card details required.
  • Platform — software provided in the SaaS model at speednetworking.cloud and workspace subdomains.

3. Conclusion of the agreement

3.1. The agreement for providing services by electronic means is concluded upon completion of the account registration process, confirmed by clicking the verification link sent to the provided e-mail address.

3.2. Registration requires providing true details (first name, last name, e-mail) and choosing a password that meets minimum security requirements. The User declares that the details are current and accurate.

3.3. Registration is available only to persons who are at least 18 years old or act as representatives of legal persons. Accounts are intended for professional (B2B) purposes; the platform is not aimed at consumers within the meaning of Art. 221 of the Polish Civil Code, although use of the platform by a consumer is not excluded — in such a case the User has the right to withdraw from the agreement within 14 days in accordance with the Polish Consumer Rights Act of May 30, 2014.

3.4. After registration, the User creates a Workspace by choosing a subdomain (it must be unique and consist of letters, digits, and hyphens). The subdomain can be changed free of charge within 30 days of creation; later changes require contacting support.

3.5. Upon creation of the Workspace, a data processing agreement (DPA) is concluded between the User (controller of Attendee data) and the Service Provider (processor); its text forms an annex to these Terms and is available in the workspace panel.

4. Payments and plans

4.1. Trial period

Every new User receives a 14-day free trial of a selected Plan with full functionality. The trial does not require credit card details. After the trial ends, if the User does not choose a paid Plan, the account switches to read-only mode for 30 days and is then marked for deletion.

4.2. Subscription plans

Available plans:

  • Starter — PLN 499 gross / month or PLN 4,990 gross / year (17% savings). Up to 15 attendees per event, 5 events per month.
  • Growth — PLN 899 gross / month or PLN 8,990 gross / year. Up to 50 attendees, 10 events per month, pre-event swipe, AI ice-breakers.
  • Business — PLN 1,999 gross / month or PLN 19,990 gross / year. Up to 200 attendees, 25 events per month, custom branding, SLA, priority support.
  • Enterprise — individually priced deployments with dedicated onboarding; quote on request.

Current pricing is always available at /pricing/. Listed prices are gross and include VAT in accordance with applicable regulations (23% for customers in Poland, reverse charge for EU customers with an active EU VAT number, export of services for customers outside the EU).

4.3. One-time events

For occasional organizers, single events can be purchased without a subscription, billed with a one-time invoice. Pricing is available in the workspace panel under "One-time packages".

4.4. Automatic renewals

Subscriptions renew automatically at the end of the billing period (month or year). The User can disable automatic renewal at any time in the Billing panel — the service remains active until the end of the paid period.

4.5. Plan changes

A Plan upgrade takes effect immediately and is billed pro rata (prorated). A Plan downgrade takes effect at the start of the next billing period.

4.6. VAT invoices

VAT invoices are issued automatically by the wFirma system within 7 days of the payment date, available for download in the Billing panel, and sent to the User's e-mail address. For EU customers with an active EU VAT number, we verify the status in the VIES database and apply the reverse charge mechanism (an invoice without VAT, with an annotation).

4.7. Payment methods

Payments are handled via Stripe Payments Europe Ltd.: Visa, Mastercard, and American Express cards, as well as BLIK and Przelewy24 (for customers in Poland). For annual plans, payment by traditional bank transfer is also possible after a proforma invoice is issued (on request via support).

4.8. Refund policy

Consumers have the right to withdraw from the agreement within 14 days of its conclusion, without giving a reason — in accordance with the Consumer Rights Act. For B2B customers, we refund payments for unused months of an annual subscription pro rata if the agreement was terminated through our fault. In other cases, refunds are considered individually.

5. User rights and obligations

5.1. User rights

  • Use of all Plan features in accordance with its specification
  • Access to your data and Attendee data in the workspace panel 24/7
  • Data export at any time (CSV, JSON)
  • Technical support by e-mail during business hours (Mon-Fri 9:00-17:00 CET)
  • Receiving platform updates at no additional cost
  • Access to the public API documentation

5.2. User obligations

  • Providing and maintaining current, true account and company details
  • Keeping the password and 2FA secrets confidential (not sharing them with third parties)
  • Promptly reporting any suspected unauthorized access to the account
  • Complying with the law, in particular the GDPR, when processing Attendee data
  • Obtaining appropriate consents from Attendees (consent to data processing, event terms)
  • Paying subscription fees on time
  • Not interfering with the platform infrastructure and not attempting to gain unauthorized access

6. Prohibited content and behavior

The User and the Attendee agree not to use the platform for:

  • Sending spam, unsolicited marketing communications, or chain-mail content
  • Harassment, hate speech, or discrimination based on gender, race, religion, sexual orientation, age, disability, or any other legally protected characteristic
  • Pornographic or erotic content, or content inciting violence or suicide
  • Promoting or selling illegal substances, weapons, or forged documents
  • Phishing or attempts to obtain passwords, payment card data, or account access
  • Distributing malware, viruses, or exploits, or attempting DDoS attacks
  • Infringing copyrights, trademarks, or personal rights of third parties
  • Impersonating other persons or entities
  • Automating registration (bots, scripts registering fake attendees)
  • Reverse engineering, decompiling, or attempting to extract the platform's source code

Violation of the above rules results in immediate account suspension and — in justified cases — reporting the matter to the competent law enforcement authorities.

7. Content moderation

7.1. Text chat during speed-networking rounds is automatically scanned by an AI moderation system based on the Claude model. Moderation works in real time and detects:

  • Spam and phishing attempts (links to external forms, requests for card details)
  • Harassment, hate speech, offensive content
  • Sexual content, violence
  • Attempts to arrange off-platform contact for unlawful purposes

7.2. When a violation is detected, the message is blocked and both parties receive a notification. After 3 violations during an event, the Attendee is excluded from further rounds.

7.3. The User (organizer) has access to moderation logs in the workspace panel and can manually block an Attendee or restore a blocked message after review.

7.4. Any appeals against moderation decisions can be submitted by e-mail to hej@speednetworking.cloud within 14 days of the incident.

8. Liability

8.1. Service Provider's liability

The Service Provider exercises due diligence to ensure continuous platform operation and the security of processed data. We declare an SLA of:

  • 99.5% monthly availability for the Starter and Growth plans
  • 99.9% monthly availability for the Business plan
  • individual SLA agreed contractually for the Enterprise plan

If the SLA is not met, the User receives a credit for the next billing period proportional to the downtime (according to the credit table available in the Billing panel).

8.2. Exclusions of liability

The Service Provider is not liable for:

  • Outages caused by force majeure (natural disasters, failures of internet operators' infrastructure, DDoS attacks on a scale exceeding standard protection)
  • Actions of third parties that violate the law or these Terms
  • The content of messages and materials published by Users and Attendees
  • Consequences of unauthorized account access resulting from the User's negligence (e.g. losing control of the password)
  • Improper use of the platform contrary to its intended purpose
  • Business decisions made by the User based on platform data (matches, ratings, statistics)
  • The quality of the internet connection on the User's or Attendee's side

8.3. Limits of financial liability

The Service Provider's maximum financial liability for damages related to the provision of services shall not exceed the total fees paid by the User in the 12 months preceding the event giving rise to the damage. This limitation does not apply to damage caused intentionally or through gross negligence.

9. Complaint procedure

9.1. Complaints regarding platform operation, service quality, or billing can be submitted:

9.2. A complaint should include: the User's identifying details (workspace name, e-mail), a description of the problem, the expected resolution, and — if possible — documentation (screenshots, logs, dates of occurrence).

9.3. We handle complaints within 30 days of receipt. No response within this period means the complaint is considered justified.

9.4. If a complaint is rejected, the User has the right to use out-of-court dispute resolution methods, e.g. mediation conducted by the Provincial Inspectorates of Trade Inspection or the European Commission's ODR platform available at ec.europa.eu/consumers/odr.

10. Termination of the agreement

10.1. Termination by the User

The User may terminate the agreement at any time by deleting the account in the workspace settings or by sending a request to the Service Provider's e-mail address. The subscription remains active until the end of the paid billing period.

10.2. Data deletion window (30 days)

After an account deletion request is submitted, all data of the User and their workspace (events, attendees, matches, invoices) is marked as "pending deletion" and physically deleted after 30 days. During this time, the User can reverse the operation by signing in again and choosing the "Restore account" option.

Due to tax obligations, VAT invoices are retained for 5 years from the end of the accounting year in which they were issued — regardless of account deletion.

10.3. Termination by the Service Provider

The Service Provider may terminate the agreement with 14 days' notice in the event of:

  • Discontinuation of the service (with 90 days' advance notice)
  • Payment arrears exceeding 30 days despite two payment reminders

Without notice (with immediate effect) — in the event of a gross violation of these Terms, in particular Section 6 (Prohibited content), actions harmful to other Users or the platform, or attempted attacks on the infrastructure.

11. Governing law and jurisdiction

11.1. In matters not regulated by these Terms, Polish law applies, in particular the Civil Code, the Act on Providing Services by Electronic Means, and the GDPR.

11.2. The parties undertake to resolve any disputes arising from these Terms amicably in the first instance. If no agreement is reached, the competent court is the court having jurisdiction over the Service Provider's registered office — provided that in disputes with consumers, jurisdiction is determined by general rules.

12. Amendments to the Terms

12.1. The Service Provider reserves the right to amend these Terms, in particular in the event of:

  • Changes in the law
  • Introduction of new platform features or pricing plans
  • A change of third-party providers materially affecting the scope of the service
  • Clarification of provisions based on operational experience

12.2. The User will be notified of amendments to the Terms 14 days in advance of the new version taking effect, via:

  • E-mail to the address provided at registration
  • A notification in the workspace panel after signing in
  • Publication of the new version at /legal/tos/ with the effective date indicated

12.3. If the User does not accept the new terms, they may terminate the agreement by the date the amendments take effect, retaining the right to a pro-rata refund of the fee for the unused subscription period.

13. Final provisions

13.1. The following annexes form an integral part of these Terms:

  • Privacy Policy — describes the rules of personal data processing
  • GDPR Notice — the rights of data subjects
  • Data processing agreement (DPA) — available in the workspace panel after registration
  • Stripe Payments Europe Ltd. terms for payment processing — stripe.com/legal/consumer

13.2. If any provision of these Terms is found invalid or unenforceable, the remaining provisions remain in force.

13.3. The current version of these Terms takes effect on May 25, 2026.
